Summary of Position

The Administrative Assistant / HR Support will support the corporate office by serving as Administrative support to the Human Resources and  Legal organizations.

Essential Functions

The Administrative Assistant / HR Support will serve as Curium’s ambassador to visitors, vendors and employees for the headquarters of North America located in Maryland Heights, MO.

This role will manage a variety of areas including:

  • Human Resources – provide focused administrative assistance to the HR team
  • Legal – provide focused administrative assistance to legal team
  • Receptionist – greet visitors and employees in person and via phone
  • General office – provide administrative support in various manners
  • Building – interface with building owner for Curium needs

Receptionist – Greet visitors and employees, notify employees of visitor arrival, answer incoming calls and direct callers appropriately. Maintain appearance of front reception area to provide attractive entrance to customers, employees and other guests.

General Office – Support clerical needs for the office including copying, faxing, creating documents, managing incoming and outgoing mail and packages, etc.

Building – Serve as point of contact for the building owner to handle matters such as concerns, maintenance requests, parking coordination and validation, etc. May handle invoices and other items related to management of the corporate office. Communicate to employees related to building outages, parking restrictions, etc.

Legal – Support administrative needs of the legal department, including two attorneys and one paralegal. This will include preparing, organizing and filing documents including the management of off-site storage needs. In addition, the Administrative Assistant will handle invoice tracking, organizing meetings and travel, and tracking calendars.

Human Resources – Support administrative needs of the HR department. This will include end to end management of candidate scheduling and expense management, organizing and filing documents, preparing expense reports, mailings for benefits and other HR-related items, scheduling meetings, tracking invoices and other administrative duties.

Events – Support coordination and planning for corporate events. Work in coordination with other Administrative Assistants across planning teams for events.

Requirements

  • High school diploma or equivalent
  • Associate Degree or four year degree preferred
  • Minimum of four (4) years of experience in administrative/receptionist support role
  • Prior experience working with attorneys/paralegals in legal setting preferred but not required
  • Proven track record in corporate office setting working with multiple priorities
  • Strong written and verbal communication skills
  • Resourceful with ability to use sound judgment and solve problems
  • Ability to organize and prioritize a variety of work
  • Advanced skills in MS Office products
  • Significant focus and detail-orientation
  • Proactive approach

Relationship with Others:

The position will report to the General Counsel in the legal department with a dotted line to the VP Human Resources. The Administrative Assistant role will work closely with employees in the Headquarters building, interacting with employees in all areas. Work will require a variety of interactions with external parties including vendors, building owner, customers, candidates, etc. This role will work closely with the legal and human resources departments in supporting the administrative needs of the departments. The role will work closely with other administrative staff for events, best practice sharing, etc.

  • General office environment but will occasionally attend meetings and visit employees within regulated manufacturing environment
  • Willingness to work in a team based environment.

  • May be required to sit or stand for long periods of time while performing duties
